Douglass Alumni meeting of January 29, 2011 was called to order by President Douglass Releford. Sheila Leeper lead us in prayer. Virginia Hankins read the minutes of the last meeting. A motion was made to accept the minutes as read. Those members in attendance were:
Douglass Releford, Virginia Hankins, Sheila Leeper, Linda Bly, Louetta Hall, Judy Phillips, Kathy Evans, James Henry, Wallace Ross, Frank Horton, Calvin SNeed, Dee Dee Horton, Andra Watterson, Ethel Ruth Russell, Pam Sensabaugh, Dawnella Ellis, and Vicki Smith. Trippy Deal from the Ebony Club also joined in the meeting.
In discussion of old business it was brought up that the storage building still had some items in it that needed to be removed. James Henry volunteered to remove those items so that we could end the rental agreement on the storage building. Questions were brought up about details on the cruise but since Thelma Watterson, coordinator of the cruise, was not in attendance those questions will have to put off until the next meeting.
Trippy Deal, a representive from the Ebony Club, spoke to the committee about joining with the Douglass Alumni Association. He said that it was the intent of the Ebony Club to support the Alumni Association. Doug explained that the Alumni Association had intentions of joining with the Ebony Club but there was always some controversy in planning of events that prevented us from joining together. The situation seems to have worked out and the Ebony Club will be sharing some events with the Douglass Alumni Association during this years reunion.
Virginia Hankins suggested that we get busy on getting letters and e-mails out concerning the reunion soon. It was suggested that we would begin that process on the next meeting. Louetta is to check about getting the large tent for field day. Andra Watterson reported that she has 20 room reserved for the reunion. More rooms are available if we need them. The rooms will be $103.69 plus tax per night.
President of the planning committee, Frank Horton, gave an update on the events for the reunion. He reported that we have several Douglass Alumni members sponsoring holes ($100.00) and carts ($50.00) for the golf tournament. Friday night will be meet & greet and registration. Saturday is field day, golf tournament at Meadowview, alumni meeting at V.O. Dobbins Complex and Saturday night will be a reception. Memorial service will be held on Sunday at the V.O. Dobbins Complex. Frank invited the Ebony Club to sponsor a hole and register a team for the golf outing.
Calvin Sneed made a motion to have the Saturday night reception at Mead Cabins along with a silent auction. Motion was carried.
Trippy Deal asked if the Ebony Club could have a block party. Everyone agreed that it would be ok. Louetta made a motion for the Ebony Club to have their registration with the alumni association. Motion was carried.
A budget of $6,000.00 was set for this years reunion. The reunion fees will be $100.00 for alumni members. That fee includes $25.00 for membership fees and $75.00 for the reunion activities. Non alumni guest are asked to pay $30.00 per person and $60.00 per couple.
This year our intent is to keep everything or as much as possible in the Riverview community. It was suggested that we use caterers from the community. Sheila Releford and Andrew Watterson were suggested. We need to send them letters requesting a menu and their capablities of handling the number of people who will be involved.
